Position Overview:

We are seeking a dedicated Project Coordinator to join our dynamic team.

Reporting to VP, Prairies, this role will take full ownership of project coordination for water management systems from initiation to completion, including coordinating project activities, managing service requests, handling change orders, and overseeing demobilization.

You will ensure clear communication and collaboration with customers and vendors while collaborating closely with Sales, Operations, and Finance teams to deliver seamless project execution.

Key Responsibilities:

Project Start:

  • Participate, and sometimes lead project kick-off meeting at site, and for internal teams
  • Review schematics and Cost Estimate of the system to confirm project specifications.

  • Resolve any discrepancies between the quote/PO and external kick-off prior to project mobilization.

  • Update kick-off service tickets to reflect any issues or changes.

  • Review & approve invoices for accuracy before submission to clients.

  • Respond to customer questions related to invoices promptly and professionally.

  • Follow up with clients regarding overdue accounts receivable and elevate issues to the Project Manager as needed.

Managing Change Orders:

  • Act as the primary point of contact for change requests from customers or internal field operations.

  • Identify potential change order items and associated pricing and communicate with customers to clarify their requirements.

  • Identify potential change of scope
  • Draft solution and cost
  • Obtain customer approval

Service Requests:

  • Liaise with customers to understand and address service requests effectively.

  • Create service tickets and collaborate with operations to ensure timely execution of requests.

  • Organize and coordinate the demobilization process with the client and internal teams.

  • Inform clients about any clearance requirements from the city.

  • Review end of project activities and identify and share lessons learned, success on all completed projects

Qualifications:

Required:

  • Diploma or higher degree in Business, Project Management, Engineering, or a related field (or equivalent experience).

  • 2 years of project coordinator experience in construction, environmental services, oil and gas or related industries.

  • Experience with ERP systems and proficient in MS Office Suite (Excel, Word, PowerPoint).

  • Strong verbal and written communication skills suitable to the construction industry.

  • Excellent organizational skills with a keen attention to detail.

  • Proven ability to manage multiple projects simultaneously.

  • Ability to work well under pressure and adjust to changing priorities and tight deadlines.

  • Must possess a valid Class 5 Driving License and have a vehicle in good condition to attend site meetings as required.

Preferred:

  • CAPM certification or similar.

  • Experience with budgeting and financial tracking for projects.

  • Technical diploma or technical courses is desirable.

  • Adaptability: Ability to pivot and adjust strategies as needed to meet evolving project needs.

  • Collaboration: Works well within cross-functional teams, fostering strong working relationships.

  • Time Management: Effectively prioritizes and manages time to handle competing demands.

  • Customer Focus: Dedicated to understanding and meeting the needs of clients and stakeholders.

  • Strong emotional resilience: Ability to effectively de-escalate conflict situations.
